How do I decide between the training and live systems?
The training system already contains a large number of records that the users can change and add to. It does not matter if the users make mistakes or deletes records. The demonstration system is provided in order to allow the users to learn without fear that they are having an impact on the “real system”.
The live system, however, is exactly that. Additions, deletions and changes made on the live system have a real impact on the actual company data. We recommend that users be only allowed to use the live system after they have had some experience of using the training system. It is possible to install both live and training systems on the same PC and the user can switch back and forth between them. However, in our experience, this can be confusing and it can lead to mistakes being made. In general, users prefer to have a physical separation between the training and live systems. In our opinion it is not a good idea to have both systems on the same PC and we would recommend that if you choose to install the training system you do so on a separate PC.
A better approach is to separate the two systems. If your company were only installing the system on one PC then we would recommend installing the demonstration system first in single user mode. Then, once the users are trained, to uninstall it and install the live system in single user-mode. If your company were installing the system on several PCs then we would recommend installing the demonstration system in multi-user mode on all the PCs. Then, as the users are becoming trained, to uninstall it and install the live system. You could even leave one or more PCs with the demonstration system installed permanently. Some companies have an IT training area and this is ideal for this function.
Your company is not liable to pay for additional licence fees providing the number of training PCs does not exceed the total number of licences. ie if your company has purchased 5 copies of the software then can install all 5 copies of the live system and up to 5 copies of the demonstration system.
